The short answer

A car rental invoice needs your company and tax details, the customer, an invoice number and dates, one line per vehicle with the rental period, days and daily rate, separate lines for extra distance, overtime, fuel and damage, then subtotal, tax, any deposit applied and the total due. The free template below has all of it in Excel, Word and PDF.

An invoice is the last thing a rental customer sees from you, and often the one they read most closely. A clear invoice gets paid on time; a vague one invites a phone call, a dispute or a chargeback. This guide explains what a car rental invoice must contain, how to fill in each section of our free template, and the mistakes that cause most billing arguments.

What must a car rental invoice include?

A rental invoice has to identify both parties, describe each rental precisely and show how the total was reached. At a minimum it carries:

  • Your company block: company name, address, tax ID and a contact phone or email.
  • The customer block: the customer’s name and address, and their tax ID when they are a business.
  • Invoice details: a unique invoice number, the invoice date, the due date and the booking reference.
  • One line per rental: the vehicle and its plate, the rental period from and to, the number of days and the daily rate.
  • Charges beyond the hire: extra distance, overtime, fuel and damage, each as its own amount.
  • Totals: subtotal, tax rate and tax, any deposit applied, and the total due.
  • Payment terms and notes: when and how to pay, and anything the customer needs to understand the charges.

Tax rules differ by country, so check what your tax authority requires on an invoice, such as sequential numbering or the customer’s tax number.

How do you fill in each section of the template?

Start at the top and work down:

  1. Company and invoice details. Replace “Your company name” and the placeholder address and tax ID. Give each invoice the next number in your sequence; in the Excel version the due date fills in as the invoice date plus 14 days, which you can change.
  2. Bill to. Use the name and address the customer gave at booking. For a business, add their tax ID.
  3. Rental lines. Enter the vehicle, plate, pickup and return date and time, the days charged and the daily rate. In Excel, the line total is days × daily rate plus the extra charges on that line.
  4. Extra distance and overtime. Enter the amount charged, not the distance or hours. Say how you reached it in the notes, for example “350 driven against an allowance of 300: 50 over, at 0.20 per unit of distance”.
  5. Fuel and damage. Charge fuel only when the car came back below the level it left with. Charge damage only with evidence (see below).
  6. Tax and deposit. Set your tax rate. Enter a deposit only if you are applying it to this invoice.
  7. Payment terms. Add your bank details and the reference you want on the payment.

What mistakes do rental invoices commonly make?

Treating the deposit as income

A security deposit is money you hold, not money you have earned. Booking it as a sale inflates your revenue and creates a tax problem when you refund it. On the invoice, record a deposit only when part of it is kept to pay a charge, and show it as a deduction from the total due. Our guide to pricing overtime, extra distance and deposits covers deposit policies in more detail.

Hiding extra distance and overtime in the daily rate

When a customer returns late or drives past the allowance, add the charge on its own line, with the allowance and the rate stated. A single higher total with no explanation is the invoice customers dispute most.

Charging damage without evidence

Damage charges need the condition at handover and at return: photos, the odometer and fuel readings, and the customer’s signature or acknowledgement. Attach the photos and the repair estimate to the invoice. Without a record from the handover, you cannot show that the damage happened during this rental.

Reusing or skipping invoice numbers

Each invoice needs a new, unique number. If an invoice is wrong after you send it, issue a credit note and a new invoice rather than editing the old one.

Download the template

The template comes in three formats with the same sections:

  • Excel: the lines, subtotal, tax and total due are formulas.
  • Word: edit it like any document and save it as PDF.
  • PDF: print it, or keep it as a model for your own layout.

The figures in it are examples in no particular currency. Replace them with your own. The same template is also available in Spanish, French, Italian and Arabic, with the Arabic version laid out right to left.

How does Odobase build invoices from completed hires?

A template works while you write a handful of invoices a week. As the fleet grows, copying dates, odometer readings and extra charges from a booking list into an invoice becomes the step where mistakes creep in.

In Odobase, self-drive hires record the odometer and condition photos at handover and return, and work out overtime beyond your grace period and extra distance beyond the allowance when the car comes back. When you invoice the customer, each returned hire becomes an invoice line that fills in from its charges, and a hire can sit on only one invoice, so nothing is billed twice. A deposit you are still holding goes into the invoice notes, never onto a line, so it is not counted as revenue. Issued invoices feed receivables and a profit and loss statement by month and branch.

Odobase is free for up to 5 vehicles, so you can move from the template to software without a new monthly cost.

Frequently asked questions

Is a security deposit part of the rental invoice?

Not as a charge. A deposit you hold and later refund is not revenue, so it should not appear as an invoice line. Deduct a deposit from the total due only when you actually apply it to this invoice, for example to cover damage or fuel.

Should extra distance and overtime be on separate lines?

Yes. Separate lines show the customer exactly what they were charged beyond the agreed hire, which heads off most disputes. Show the allowance, the distance or time over it and the rate in the line or in the notes.

Can I use the Excel template for more than one vehicle?

Yes. The lines table has room for ten rentals, and each line total, the subtotal, the tax and the total due are formulas that update as you type.

Is the template free for commercial use?

Yes. Download it, add your logo and details, and use it for your own rental business. No sign-up is needed.
