The short answer

You can run a small rental fleet from a spreadsheet with three sheets: vehicles, one row per booking, and a calendar. The free Excel template below fills in days and totals and uses a COUNTIFS formula to flag any two bookings of the same car that overlap. It stays reliable only while one person keeps it up to date.

Most rental companies start with a spreadsheet, and for a handful of cars it works. The trouble starts when the spreadsheet is a list of bookings that nobody checks against each other. This guide shows how to set up a car rental booking spreadsheet that catches double-bookings by itself, with a free Excel template, and explains where a spreadsheet stops being enough.

Can you run car rental bookings in a spreadsheet?

Yes, for a small fleet with one person in charge of the bookings. A spreadsheet is free, everyone knows how to use it, and you can shape it to the way you work. What it needs is structure: one list of cars, one row per booking with exact times, and a check that compares bookings for the same car instead of relying on someone to spot an overlap by eye.

What is in the template?

The workbook has four sheets:

  • How to use: eight short instructions.
  • Vehicles: plate, vehicle, class, daily rate, status and notes. The plate is the key that the other sheets use, so keep each one unique.
  • Bookings: booking number, customer, phone, the plate (picked from a list), the out and in date and time, the odometer out and in, the distance driven, days, daily rate, total, status and the overlap check.
  • Calendar: one row per car and one column per day for a month, starting from a date you choose.

Several columns fill themselves in. Distance driven is the odometer in minus the odometer out. Days are the hire time rounded up to whole days, with a minimum of one. The daily rate comes from the Vehicles sheet, and you can type over it to give a special rate. The total is days times the rate.

How does the overlap check work?

Two bookings of the same car overlap when the first goes out before the second comes back, and the second goes out before the first comes back. The template’s overlap column counts, for each row, the bookings that match all of these conditions:

  • the same plate,
  • an out time before this booking’s in time,
  • an in time after this booking’s out time,
  • a status other than cancelled.

The booking always matches itself, so a count above one means a clash, and the cell turns red with “Double-booked”. The Calendar sheet uses the same COUNTIFS logic for each car and day: 1 means booked, 2 or more turns red. The example data includes two overlapping bookings on purpose, so you can see the warning before you delete the examples.

Because the check compares times, not just dates, a car returned at 09:00 and handed out again at 12:00 the same day is not flagged.

How do you keep a booking spreadsheet accurate?

A few habits make the difference:

  • Keep one file in one shared place. Two copies are two chances to promise the same car twice.
  • Record exact times, not just dates. Late returns are where most clashes come from.
  • Treat the in time as a promise, not a fact. When a car is late, update its in time straight away and look at the next booking for that car.
  • Never delete a cancelled booking. Set its status to cancelled, so you keep the history and the check ignores it.
  • Record the odometer at both ends. It is your evidence for extra distance charges.

Our guide to preventing double-bookings covers the rules behind these habits.

What are the limits of a spreadsheet?

The formulas only see what someone has typed in. The spreadsheet has no live availability: a booking taken by phone while you are out, or a car that comes back late without anyone updating the row, is invisible to the check. It warns after the fact rather than refusing the booking, so a busy colleague can still save a clash and miss the red cell.

It also gets harder as you grow. Each new person who takes bookings is another chance of a typing error, a deleted formula or a second copy of the file. Returns, condition photos, invoices and customer messages all live somewhere else, and keeping them in step is manual work.

When should you move to rental software?

Move when more than one person takes bookings, when customers book outside office hours, or when you spend more time checking the spreadsheet than renting cars. Software checks availability at the moment a booking is made and refuses the overlap, instead of colouring a cell afterwards.

Odobase blocks a self-drive car until it is actually returned, refuses a booking that would put a car or driver in two places at once, and keeps chauffeured trips and self-drive hires on the same check. It is free for up to 5 vehicles, so a small fleet can make the move without a monthly cost.

Download the template

Download the car rental booking spreadsheet (Excel). The vehicles, customers and prices in it are examples in no particular currency; delete them before you start. The same workbook is also available in Spanish, French, Italian and Arabic, with the Arabic version laid out right to left.

Frequently asked questions

How does the spreadsheet detect a double-booking?

For each booking, a COUNTIFS formula counts the bookings with the same plate whose out time is before this booking’s in time and whose in time is after its out time. If it finds more than one, the booking itself plus another, it shows “Double-booked”.

Does the template work in Google Sheets?

It is built for Microsoft Excel and uses only standard functions (COUNTIFS, INDEX, MATCH, ROUNDUP and IFERROR) that Google Sheets and LibreOffice also support. Check the conditional formatting after you import it.

When is a spreadsheet no longer enough?

When more than one person takes bookings, when bookings arrive from your website or by phone while you are away from the file, or when you need returns, odometer readings and invoices to stay in step. At that point the check only works if everyone remembers to use it.
