## The short answer

A small fleet can be managed in Excel with a few sheets: vehicles with their due dates, drivers, a maintenance log, fuel and other costs, and who used each vehicle when. Formulas can count the days to each renewal and add up the cost per vehicle. Excel stops working when several people update it, drivers report from the road, or a missed date costs money.

Most fleets start in a spreadsheet, and for good reason: Excel is already on every computer, it costs nothing extra, and it bends to the way you work. The trouble comes later, when the file has five copies, a driver's licence expired last month and nobody knows what each van really costs. This guide shows how to set up a fleet spreadsheet that holds up, and the signs that it is time to move to software.

## Can you manage a fleet in Excel?

Yes, for a small fleet with one person in charge of the file. A spreadsheet can hold your vehicles, your drivers, every service and every cost, and a few formulas turn it into a list of what is due. It works as long as the data goes in on time and one copy of the file is the truth. It stops working when several people update it, when drivers have to send readings and receipts from the road, or when the fleet grows past what one person can keep up to date.

## What should a fleet spreadsheet track?

Keep one sheet per subject and one row per event. A fleet workbook usually has:

- **Vehicles:** plate, make and model, year, current odometer, and the due date for insurance, registration, inspection and the next service.
- **Drivers:** name, phone, licence number and licence expiry date, and which vehicles each one may drive.
- **Maintenance log:** one row per service or repair with the date, the vehicle, the odometer reading, the garage, the work done and the cost.
- **Fuel and expenses:** one row per receipt with the date, vehicle, driver, type (fuel, tolls, parking, washing) and amount.
- **Usage:** who had which vehicle, from when to when, with the odometer at the start and the end.

The same structure is behind our [car rental booking spreadsheet](https://odobase.com/blog/car-rental-booking-spreadsheet), which adds a check that flags two bookings of the same car.

## Which formulas make a fleet spreadsheet useful?

A handful of formulas do most of the work:

| What you want | How to get it |
|---|---|
| Days until a renewal | The due date minus TODAY(), coloured red below 30 with conditional formatting |
| Cost per vehicle | SUMIFS over the maintenance and expenses sheets, by plate |
| Cost per unit of distance | The vehicle's costs divided by the distance between two odometer readings |
| Next service due | The last service's odometer reading plus your service interval |
| Vehicles off the road | COUNTIFS on a status column (available, in service, off the road) |

Keep the formulas in columns that nobody types into, and protect them if you can. A formula overwritten by hand is the most common way a fleet spreadsheet goes wrong without anyone noticing.

## Where does Excel stop working?

A spreadsheet only knows what someone typed, and only warns you when someone opens it. The usual breaking points are:

- **Several people, several copies.** The office, the workshop and the owner each keep their own version, and none of them is complete.
- **Drivers on the road.** Fuel receipts, odometer readings and damage reports arrive by message, days later, and have to be typed in.
- **No live picture.** The file cannot tell you where a vehicle is now, or that a driver is booked on two jobs at once.
- **Dates that pass quietly.** An insurance renewal or a licence expiry is flagged only if someone looks at the right column on the right day.
- **Costs that never add up.** Without every receipt in the file, cost per vehicle is a guess.

## When should you move to fleet management software?

Move when the spreadsheet costs you more than it saves: when a second person starts updating it, when drivers need to report from their phones, when customers ask where their vehicle or driver is, or when a missed date has already cost you a fine or a repair. For a transport or rental company, the moment usually comes with the first double-booking.

## How does Odobase compare with a fleet spreadsheet?

[Odobase](https://odobase.com/) keeps one record per vehicle with its photos, odometer and status, a private section for its registration, insurance and permits, and its full [maintenance history](https://odobase.com/features/vehicle-maintenance): services scheduled by date and sent to a driver, who completes them in the app with a photo of the garage's invoice. Drivers log fuel, tolls and parking against each trip from the [driver app](https://odobase.com/features/driver-app), with a receipt photo, and every trip records its odometer readings and route. Reports show what each vehicle earns and costs, and a vehicle cannot be booked on two overlapping jobs.

Odobase does not yet raise reminders by mileage, so plan services by date. If you charge customers for the work your vehicles do, our free [car rental invoice template](https://odobase.com/blog/car-rental-invoice-template) shows what each invoice should contain, and Odobase builds those invoices from completed trips and hires.

## Frequently asked questions

### Can I manage company vehicles in Excel?

Yes, for a handful of vehicles and one person in charge. Keep one sheet per subject, such as vehicles, drivers, services and costs, one row per event, and formulas that count the days to each renewal so nothing expires unnoticed.

### What should a fleet spreadsheet track?

Each vehicle's plate, model, odometer and due dates for insurance, registration, inspection and the next service; each driver's licence expiry; every service and repair with its cost; fuel and other expenses; and who used which vehicle and when.

### How do I get reminders from Excel?

Add a column with the days left to each date, such as the due date minus TODAY(), and colour it red below 30 days with conditional formatting. It only warns you when someone opens the file, so check it on a fixed day every week.

### When should I stop using Excel for my fleet?

When more than one person updates the file, when drivers have to report costs and readings from the road, when you need to know where a vehicle is now, or when a missed renewal or double-booked vehicle has already cost you money.

### Is there free fleet management software?

Yes. Odobase's Starter plan is free for up to 2 vehicles, with no card needed and no time limit. It covers vehicles and maintenance, drivers and their app, trips with live tracking, expenses and invoicing.
